Business owners, can I be honest with you?

You don’t have a spreadsheet problem. You have a system problem.

I’ve seen too many entrepreneurs download yet another shiny template, plug in a few numbers, and then never look at it again. It's not because you’re not smart. It’s because you’re overwhelmed, overworked, and disconnected from your numbers.

Spreadsheets don’t make decisions. Systems do. And you deserve one that works for you — not one that collects digital dust in your Google Drive.

As a Fractional CFO, my mission isn’t to drown you in reports. It’s to help you create a simple, reliable rhythm so you can see your numbers clearly and act on them confidently.

Let’s keep it practical. Here are 5 steps to build a system that helps you truly understand your financials — no new spreadsheet required.

Step 1: Pick One Day a Month to Review
Mark it on your calendar. This is your Money CEO Day. No client calls, no distractions — just one focused hour to look at what really matters. For me, Fridays work best. I call it Fun Financial Friday. I do the steps below, pay my bills, send any invoices and get a clear set of steps.

Step 2: Use the Same 3 Reports Every Time
Stick to these:

  • Profit & Loss Statement (Are we making money?) 
  • Balance Sheet (What do we own vs owe?)
  • Cash Flow Statement (Where is our money going?)

Don’t overcomplicate it. These three will tell you most of what you need to know.

Step 3: Ask These 5 Questions Each Month

  1. Did we make a profit?
  2. What changed in cash since last month?
  3. Are we spending too much in any one area?
  4. Do any clients or vendors owe us money?
  5. Can we afford to pay ourselves more?

Build a habit of curiosity, not fear.

Step 4: Track One Metric That Matters

Pick ONE number to watch consistently. Gross margin? Owner’s pay? Cash on hand? Make it visible — on a sticky note, your whiteboard, or the first tab of your spreadsheet.

Step 5: Give Your Numbers a Job

Numbers are only powerful when they lead to action. Decide:

  • What will you do this month to improve that one metric?
  • Who will you talk to?
  • What will you change?

This is how you stop managing your business by vibes and start managing it by vision.

Final Thought:
You don’t need a finance degree. You don’t need to love spreadsheets. You just need a system that turns your numbers into insight — and insight into action.
